After reviewing the by laws I believe there are a few things that need to change.
I believe we should review this at the next meeting but I am going to start a discussion about it now and anyone else's input would also be appreciated.
First: As stated in the elections thread: The secretary and treasurer positions need to be separated so that we can move forward with identifying new board positions accordingly
Second: Due to the current situation at Reiter, and the current RTW board that we have, I believe we should move our election dates to December, and have the new board in place at the January meeting. I realize this would incur a December meeting to take place, however as all of us are aware; the current situation of Reiter and the need for an effective board is critical to the shaping of Reiter and our public image going forward.
Third: According to the by laws there is no "trail boss” which is what we have all been calling Charlie at this point.
There is however an event coordinator which I think fits Charlie very well.
I also believe Charlie was correct in his line of thinking with having 2 people involved with the event coordinator position, because of how much is happening at Reiter at this point. So should we make it a 2 part roll: discuss:
Finally: Adding one more position as a Public Relations (PR) representative:
Do we want to add a position for a PR person, or leave this up to the president and vice president at this point and time until RTW becomes larger? I think if we leverage the correct people into elected roles, during this critical time of Reiter as a whole, having a separate Public Relations representative, working under the guidance of the President/Vice President would be an asset to the organization and the future image of RTW. The only issue I se with elections in december is we have nevere had a december meeting--due to how busy of a month it is. But with the current issues at hand I can see a need for a meeting in december...
As for secretary/treasuer a seperate enity--I also agree with that..
Some time ago I had talked with mike jones about being a PR guy--granted that was really not my call being trail boss but I felt it needed to be so. I think those types of positions need to be an "asked" position by the president.. This will let us evolve as things progress and change over the next year and give us more flexability in our needs.

Agreed there is a definite consideration to be made for having a December meeting, but as folks will likely understand, a meeting to vote in the new board on a new schedule is important enough to make a special arrangements for. Particularly due to the scope of reiter now, and what we as an organization would like to accomplish.
I also think Mike Jones would be an excellent Public Relations representative.

if people can not make it to the meeting is there a way that they can submit a vote on line or fill out a sheet stating there votes and have it brought to the meeting?
and i believe mike would be a great pr guy if he is willing.

I don't recall what the by-laws state as length of time in office, but if it does not then I would suggest they be amended so that each is for a 3 year term.
This up coming election would stagger the opening terms so that some were for one year, others for two years and some for three years. This would required an election each year, but not a whole sale replacement and would give on going continuity to the board of directors and smoother transitions as there would always be experienced people on the board.
There should also be an odd number of members such as 7 or 9 so that they would never be a tie vote that could hold up projects. The President or Chairman (what ever name is used) would cast the last and deciding vote.
As far as the Trail Boss/Event Coordinator, I would leave it at one person who would work closely with the DNR Rep to develop a re-pore and then working under the Trail Boss "Event Managers" could be appointed to "MANAGE" as single event with direction and guidance from the Trail Boss and not expect the Trail Boss to personally run every event.
Then also the President could appoint "SPECIAL EVENT MANAGERS" as needed for events such a Money Raising activities and such other things as the board directs.
I have also volunteered to Charlie to do a suggested up date to the By-Laws, but have been busy with other things and not been working on them as they can be amended by the Board of Directors any time they feel the need. So make admin changes now to get the ball rolling and get the group Incorporated and we can refine the By-Laws down the road.
I also have no problem with a Dec meeting if the Board decides that is how it should be done as they are currently the governing body until the By-laws enacted by Incorporation

the only problem I see with a poll post is that everyone can see who voted for who and i hate to see people get butt hurt when someone they expected to vote for them didnt. crash is there a way to edit a poll where people can only see the result and not who voted for who?

There is 2 forms of a poll with VBB. One you can see who voted for what and the other it just shows the number of folks who voted for what...

I guess it is time for these questions so someone has time to come up with the correct answers.
1. Who is eligible to hold office in RTW?
2. Who is eligible to vote for Officers of RTW?
I have been looking at the 500+ membership list here and it is weird to the least.
I have also looked at the 143 member User List and I am not sure all of those names should be there, but also not sure how to confirm.
There is 21 members listed as RTW Members, and that does not include one name that was nominated for an Office, but they are in the 143 member list.
Just a little food for thought that needs to be resolved before a ballot is made up or any votes cast in any manner.

this is because nothing has been updated in a long time. not sure how no one nominated is listed as a member. where are you getting your member list from?
i am not sure about anyone else but i know crash and i both were involved years ago. i know i dropped off the face of the planet for a couple yeard though

All the information I have is what I accessed here on this forum. Maybe I can now access information you can not since I was made a Moderator. But if you look the membership reported is 500 and in the last week was up to 530 at one point. A lot of those names are pure BS and should be deleted in my view, but I have ask Mike if there is a way to send an email to all to get replies from the real people (including the lurkers which all forum have) and then delete the remained so we have an honest view of membership of the forum.
There is a User list, this is one I don't know if you can see or not, but I can. It list's a total of 143 names, 21 of which are listed as "RTW Members", 121 are listed as "Junior Members" and one is listed as "Member". Some of this 143 I know, some I think I know, but I would not bet on it, and the rest I am not sure if they are real people or not, but I an 100% sure that all are not real people.
One person listed as a "Junior Member" was nominated for an office on the Board of Directors, but it has been my understanding that only "RTW Members" are eligible to hold office or vote, so I think it needs to be cleaned up and maybe some people's status changed, before the Official Nominations and Voting take place.

The second issue is we need to update the site so I can control the influx of spammers--thats where alot of the garbage names come from you are seeing ted. Once I can get that done I can go forward and clean the userbase up (which will be very time consuming but something I really need to do). So once those are done we can go forward.
If I get a chance I will go ahead and just purchase the needed license for the software and get it updated tommorow evening. I have a little extra $$ I can now play with so I will get that taken care of.
Once I get the software fixed I will be able to do mass emails and PM's for notification and we can clear alot of the mess up.....

Even a super mod is limited to the back side control of the software(for a reason). Your doing the front side stuff(what users see) so to speak and I will take care of the back side.
Some things are very sensitive to the workings of VBB ted and require somebody with experiance to handle them. Not to metion somebody with little experiance in this software could easily cause a major failure. That type of stuff I need handle ;)

maybe it is just me but the way you worded this seemed like you were saying none of the people that were nominated were members.
this is where i was confused but i see what you mean now.
as mike said this is why we are making sure everyone is filing out a membership form at the next meeting.

so very true. had mineget all messed up by someone and that was the end of someone else touching my board besides as a moderator

This is something thats been talked about and will either be a board postition or just an apointed position. But it is something thats needed.
